The Challenge
Vaultly's treasury management SaaS had powerful features buried under a confusing UI. New users were spending 45 minutes to complete onboarding — and 35% dropped off before connecting their first bank account. Support was flooded with 'how do I...' tickets, and churn in month one was unacceptably high.
Our Solution
We ran a full UX audit — heatmaps, session recordings, and exit interviews with churned users. The root cause was information architecture: critical actions were hidden three levels deep. We redesigned the onboarding as a progressive disclosure flow, surfaced the most-used features in a persistent sidebar, and rebuilt the dashboard in React with real-time data powered by WebSockets. The design system we created ensures future features ship with consistency baked in.
Vaultly helps finance teams manage multi-currency treasury operations. Their product had deep functionality, but the interface was built by engineers for engineers — and it showed.
Research before pixels
We spent the first two weeks in discovery. Five churned users agreed to screen-share their onboarding experience. The findings were consistent: users couldn’t tell what to do first, terminology was jargon-heavy, and the empty state gave no guidance.
Progressive disclosure framework
Rather than showing everything at once, we built a wizard-style onboarding with smart defaults. Users connect one account, see value immediately (live balance, a sample report), and unlock complexity on their terms. The full settings panel is still there — just not in the way.
Design system impact
The component library we shipped is now Vaultly’s internal standard. New features ship in days, not weeks, because the building blocks are already designed, documented, and tested in Storybook.
